Bookings and clients

What your clients see

The booking page, the details step, the confirmation, and everything a client can do from their booking link without an account.

Clients never create an account. Everything they need is on your page and in their confirmation email.

Your page

schedulign.com/your-page lists your live events with length, price and where each happens. A team page names the host on each event (or its hosts, on an event several hosts share) and offers a search by event or host once a second host has joined. Your logo or photo, your welcome message and your accent color set the look. While your bulletin board has a post, a slim Updates tab at the right edge of the page opens your posts, and each event card has an Updates door of its own (see The bulletin board). While your mailing list is on, the page ends with Join the mailing list: the client checks what to hear about and lands in your Contacts (see Contacts, client groups, perks and blocking).

Booking

On an event the client picks a length, a group size where you offer several, a day and a time. Times show in their own time zone unless you locked the event to yours. Peak and discounted times are shaded and named. Times starting within an event's by-request window show dashed and marked by request; on an event set to Bookings by request only the Booking window rows under the calendar say every booking is confirmed by the host. Either way the client sends a request, and nothing is booked or charged until you approve. Days with no listed times can be tapped to request one, when you allow requests; otherwise a day with nothing free — booked out, or closed by the event's own booking limit — is struck through. On an event that keeps a waitlist, every day inside the booking window can be picked, and Join the waitlist for a time under a day's times lets the client wait for a time that isn't listed; the place counts once they confirm it from their email (see The waitlist for a time). The Booking window rows under the calendar say how far ahead clients can book (Date range) and when booking closes (Closes); an event bookable within a date range names its dates there, and the calendar opens on the month the range starts in. The footer of every booking page carries Report a problem, which sends what the client saw, with the page they were on, to Schedulign.

On an event several hosts share, the client picks a host or Any available, which shows every host's open times. Under Any available no time names a host: when two or more hosts are free at the time the client picks, they can choose one, or leave it on Any available and the event's Assignment gives the session a free host when they book (one host free then is named under the time). With Clients can choose the host off, the page offers Any available alone. A request sent through Any available is given its host when you approve it.

The details step asks name, email, the contact they prefer for this session (phone, email or WhatsApp — shared with the host), the participants' names, the event's add-ons offered for the length and group size they picked (see Durations, group sizes and prices), your questions, the waiver or agreement, an optional tip (never on a waitlist place), and how to pay. The Online changes rows under the calendar say what they may cancel or reschedule online and until when; your written policy, when you show it, is a Cancellation, No-Show & Refund Policy link they open before booking. Members of a client group can enter their email to unlock their perks.

After booking

The confirmation page and email carry the session, the place or video link, the payment state, an Add to calendar button and the private booking link. A booking a discount code took the whole price off reads Paid · $0 with a code there and on the booking link, as on your Bookings row; a session listed at $0 reads as a free session, and one with no price listed says nothing about money. Your ways to pay offline appear only beside an amount to pay offline. The confirmation email itself is a calendar invitation from your business: Gmail, Apple Calendar and Outlook add it, and every later change updates that one entry — a new time moves it, a confirmed location fills it in, and a cancellation marks it canceled. Your own Google account is never shown to the client. Reminders arrive before the session when the event has them on, and a follow-up afterwards if you switched it on.

An intake form

When an event sends an intake form with the booking confirmation, the confirmation page, the confirmation email and the booking link carry a button to it: Fill out and the form's name, or Open the intake form for a form you keep elsewhere. The client fills your form in on its own page, without an account, and the page never shows what they sent before, so a forwarded link shows no answers. When something changes, they open the same link and send the form again; each send is kept, dated, on their contact page. A form needed before the session that hasn't come in brings the client one reminder the day before.

From it a client can cancel or reschedule while the event's online windows are open (a new time that books only by request goes to you as a move request, and the booked time stands until you approve), see the exact fee before confirming a cancellation on a booking paid online with automatic refunds, pay a payment link after an approved request, leave a tip after the session when you offer tipping afterwards, and jump to all their bookings. Once a window has closed, or when online changes are off for the event, the link shows the booking and says "Contact {your business} to ask about canceling or rescheduling."

On an event several hosts share, a client who booked Any available sees the host each new time comes with before confirming the move, and may get another host of the event: the event's Assignment picks among the hosts free then, with no preference for the one they have. If that host is booked before the client confirms, the next free host takes it and the page says so. A client who picked a host by name keeps that host on every move. A move that goes to you as a request names its host once you approve it.

A waitlist place

Every waitlist email links to the place's own page. A place counts only once the client presses Confirm my place there, or Confirm and save a card when they pay online and your business takes online payments with automatic Stripe Tax off; a place not confirmed within 24 hours of joining ends. The page shows their number in line, when their place ends and how the time is paid, and lets them save or remove a card or leave the waitlist. Leaving takes two taps on the page, so an email scanner that opens the link removes nobody. A client who cancels or moves their own booking for a time they also wait for leaves the waitlist for that time too, and so does one whose request to move it you approve; the email about the cancel or the move is the only one they get. When a time is held for them, the page has Pay now and Decline this time; once the time is booked, See your booking opens the booking link.

Find my bookings

Anyone can enter their email on the Find my bookings page and receive a link listing every upcoming booking across every business on Schedulign, valid for a day. The same page lists every waitlist place they have confirmed that is still waiting or holding its time, each with Details (the place's page) and Leave the waitlist; a time held for them until they pay is listed there once, not also as a booking. An address with no bookings but a confirmed waitlist place gets the link too. The page downloads every booking for the address as CSV or JSON, each payment in the words its booking link uses (Paid online, Pay offline, Not paid). The JSON download includes every waitlist place, without any Stripe id or the place's private link.

Data and privacy

The privacy policy and terms are linked from every booking page. Clients can ask you to correct or delete their information: on a past or canceled booking, Delete client data (Bookings → Archived) removes their name, contact details, form answers and notes while the payment and the time stay. They can also write to admin@schedulign.com.
