Every email Schedulign sends
Which emails go to clients and which to you, when reminders and follow-ups are sent, calendar invites, and what a team owner receives.
To your clients
Sent from "{your business} via Schedulign" (all but Find my bookings, which Schedulign sends itself: see the end of the list), with your contact details when the event shows them. When the event shows an email address, a client who replies reaches you there, and each email says so; an email with none shown says replies aren't read, and your address is never revealed.
On a team, the emails a member's or an admin's own action on a session they host sends (a location they set, a cancellation with their note, or a time or move request they approve or decline) come from "{their first name} at {your business} via Schedulign", or from your business alone when its name already says their first name. When they may see clients' contact details (an admin always may), a reply reaches them too, along with the event's shown email, and the email says so. Everything else, and everything you do, comes from your business.
The emails:
- Confirmed when a booking is made or a request approved, with a calendar file attached, a link to add it to Google Calendar, and the event's online cancel and reschedule windows beside the booking link.
- Request sent and Move requested when a request goes in; Request not approved when you decline; Request expired when one expires. A request for any available host names no host: it says the business assigns one when it approves the request.
- Reminder before the session, at the hours set on the event. A booking made inside that window gets one two hours before, when at least three hours remain.
- New time after a reschedule, with a fresh calendar entry. When the client booked any available host and another host of the event takes the new time, it names that host.
- New host when the business moves a session booked with any available host to another host of its event. The time, price and payment stay the same, and the calendar invitation it carries updates the client's entry with the new host (with a new video call link on Google Meet events). A session booked with a named host is never moved to another host.
- Location confirmed when you assign or change the place.
- Canceled on any cancellation. It names no fee; a refund, when one is made, gets its own Refund issued email. When the event leaves a payment to you (see Cancellations and refunds), it tells the client you will contact them about their payment, and your notice says the refund is yours to decide.
- Payment not completed when a payment link lapses, and the calendar invitation from the approval is canceled. A payment that arrives after its time was released goes back in full, and the client gets Payment refunded instead of a confirmation. If Stripe refuses that refund, the client gets Refund pending, you get a Canceled notice saying it was paid online and the refund is yours to issue from Bookings, and the booking shows Refund failed with Retry refund.
- Fee waived and Refund issued as you record them; Mark paid offline sends the client nothing.
- Thank you for your session an hour after the session ends, when the event's follow-up is on.
- New times opened and New openings for openings notifications. Each has a one-click unsubscribe and says where a reply goes. (The day hold's three emails went with it: see Openings notifications.)
- You're on {your business}'s mailing list when a client joins your mailing list, naming their choices, with the link that changes them or leaves the list.
- Your bookings from Find my bookings, with the client's upcoming bookings, or Your bookings and waitlists when they also hold waitlist places. It comes from Schedulign itself, not from your business, since it can list bookings with several businesses.
To clients on a waitlist
On an event with its waitlist on, each email names the one time the client waits for and comes from your business, like every automatic email. Every email about a place still in line, or holding its time, has a link to leave the waitlist; an email about a place that ended links to the event's listed times.
A time opens for the waitlist whenever it can be booked again. When a client or you cancel, a session moves to another time or host, or an unpaid time is released, the first person in line who can still book it gets it before anyone else hears of the time, and before any openings notification. A time that opens any other way (a change of hours, a booking limit or a calendar) is checked regularly: if it is still open then, the first in line who can still book it gets it.
- Confirm your place on the waitlist when they join. The place is in line only once they confirm it from this email, and one not confirmed within 24 hours of joining ends. Joining the same time again sends it again, or On the waitlist with their number in line once they have confirmed.
- Booked from the waitlist when the time opens and is booked for them: a confirmation like any other, naming the saved card when it was charged.
- Pay by a deadline when a time paid online opens and no saved card was charged: the time is held for them until then, with Pay now, and when they had saved a card, the email says why it wasn't charged. The deadline is the earlier of 12 hours after the email and 1 hour before the session, and never less than 15 minutes away. Until it is paid, the time can't be moved to another time.
- Payment not completed when that deadline passes unpaid: the time is released and goes to the next person on the waitlist, nothing was charged, and the calendar invitation from the Pay by email is canceled. A payment that still arrives after the release goes back in full, with Payment refunded.
- Your waitlist place ended when the end they chose passes, Off the waitlist when you take them off, and Waitlist ended when the event stops taking the place, with the reason. When a card was saved for the place, each says it has been removed.
- You left the waitlist when a client leaves just as their card is charged: the charge is refunded in full. When that refund fails, the email says the charge will be refunded and to contact you if it hasn't arrived in 10 days, and you get the Canceled notice: Retry refund on the booking in Bookings sends it again.
To you
- Booked, canceled, rescheduled, requested, expired, withdrawn for every session you host, with the client's details as your grant allows. A booking the waitlist made says Booked from the waitlist, or, while the client pays online, until when the time is held for them; unpaid by then, Time released — payment not completed says it was released. The payment reads as on the booking's row: a code that took the whole price off is paid at $0 with a code, a booking with no listed price has no payment line, a move request carries the original booking's payment, and a booking that ended never shows a payment due. When a session paid online is canceled and not yet refunded, your notice says the refund is yours to issue from Bookings, unless the event's cancellation fee kept the whole payment.
- On a team, Assigned to you when a session becomes yours: the business moved it to you, approved a request and gave it to you, or a client who booked any available host moved it to a new time that went to you. Moved to another host goes to the host who had it, with the client's name only and no price: the session is off their schedule. A request for any available host reaches the owner, since it names no host until it is approved; when an admin approves one, the owner is emailed Request approved, naming the host it went to.
- On a team, while the Team tab's Email me about my team's bookings is on, the notices about a member's or an admin's session reach the owner as the owner chooses there: Each email, as it happens (a copy of every host notice but the old host's Moved to another host, the default), A daily summary each evening (one Your team summary email at 6 PM in the business's time zone, on days something happened: bookings, cancellations, moves, requests, locations and payments, each with the host named), or Both. A session moved to another host without a request reaches the owner as Host changed, naming both hosts, and is listed with the moves. Whatever the choice, a request the member may not answer, a canceled session paid online with a refund still to issue, and a session moved away from a host who no longer has access are emailed to the owner at once.
- On a team, Marked paid offline to the owner when a member or an admin marks a session paid offline, naming who did: for a member's or an admin's session the way the owner chose above, and always as its own email for a session the owner hosts. One booking sends it at most once in 10 minutes. Nobody else is told, and the owner's own marks send nothing.
- Duplicate payment not yet refunded to the owner, once, when a client paid for one booking twice and the refund of the second payment did not go through. The refund is tried again automatically for up to 3 days; the email links to the payment, to refund it from the Stripe Dashboard if it never goes through.
- On a team, an email naming what changed when someone else changes an event you host or your hours with the team. Nobody is emailed about their own changes.
- Copies go to the owner, never to admins, and an admin is never emailed about what they did. The owner is emailed when a member or an admin changes an event they host or their own hours, and when an admin changes the business's settings (Profile, Branding, My link or Payments) or who can be booked.
- Confirm your Schedulign email, Reset your password, team invitations, a member removed or left, and a plan that lapsed.
Per event
The Notifications section switches the reminder (and its hours before), the follow-up and the automatic openings alert. Confirmations and cancellation emails always go.
Deliverability
Emails go out through Schedulign's sending service. If a client says nothing arrived, ask them to check spam and confirm the address on the booking; the Bookings tab shows the address used.
