Hours, days off and how far ahead clients book
An event's weekly hours or a saved schedule (and saving an event's hours as one), date-specific hours, booking windows, minimum notice, by-request times and the by-request window, buffers and limits, and hours on an event several hosts share.
Where hours live
Every event carries its own weekly hours in its Availability section, so two events can keep different schedules. If several events share the same hours, save them once as a schedule in Settings → Scheduling → Available hours and pick it from the event; editing the schedule updates every event using it. Saved schedules belong to the owner; an admin picks one on the event or sets the event's own hours.
To reuse hours you already set on an event, press Save as a schedule under its weekly hours and name the schedule (it starts as the event's name followed by "hours"). The hours join your saved schedules and the event switches to that schedule, so editing the schedule later changes this event too. The event's date-specific hours stay with the event. A name another schedule already uses is refused, and so is an event with no weekly hours. Only the owner sees this button.
A booking made through Schedulign always blocks its time on this event and every other event the host offers, whether or not a calendar is connected.
Date-specific hours
Under the weekly hours, add a date and either block it (Unavailable all day) or give it custom windows. Several windows on one date make split hours. A blocked date beats the weekly hours.
How far ahead, and how soon
Clients can schedule sets the window: a number of minutes, hours or days ahead, a fixed date range, or indefinitely. A date range is the whole window: only the dates between the two you pick are offered, however far off they are, and the booking page names the range in its Date range row under the calendar. With at least … notice is the earliest a client may book before a session starts, also as a number and a unit. The notice can never be longer than the window — the editor says so when you try.
Times by request
- Bookings by request only turns every time into a request you approve.
- Bookings within … are by request only, just under it, makes only the times that start soon requests. Pick a number of minutes, hours or days (up to 30 days): times on your page that start within that time from now become requests you approve or decline in Bookings, and later times book instantly. It must be longer than the minimum notice, since no time is offered inside the notice; the editor says so when it isn't. With Bookings by request only on, every booking is a request already, so it is greyed.
- Clients can request unlisted times lets a client propose a time that isn't offered; nothing is booked or charged until you approve.
A client group with instant booking (see Client groups) books at once under the first two; a request for an unlisted time is always a request.
What clients read
Under the calendar, the booking page always shows Booking window as labeled rows: Date range ("Up to 60 days ahead", or the dates you set), Closes ("2 hours before the start time") and, when the by-request window is on, By request ("Times starting within 1 day"). On an event set to Bookings by request only, the last row is Every booking: "Confirmed by the host". Times inside the by-request window show dashed and marked by request, and picking one says the business confirms bookings that soon before anything is booked or charged. A client who enters a member email sees their own numbers there — a longer window, a shorter notice or instant booking when their group grants it (see Client groups).
Buffers and booking limits
In Limits & buffers, a buffer is the minutes kept free before or after every booking of this event, so sessions never run back to back. Booking limits cap how many bookings of the event a host takes in a day, a week or a month; blank means no cap. Once a cap is reached, no more times show for that period.
Start time increments
In Event page options, the increment sets how often a start time is offered inside your hours: every 15 minutes, every hour, or a custom step.
What blocks a time
A time is offered only when all of these agree: the event's hours, its date-specific hours, the host's days off, each team member's hours with your team (on an event several hosts share), buffers around existing bookings, the booking limits, the notice and window, every booking already made through Schedulign, Google Calendar busy times when a calendar is connected, and on the Free plan the weekly limit.
Events several hosts share
An event is shared once a second host is added in its Hosts section. Each team member is offered where the event's hours and their hours with your team overlap (Settings → Scheduling → Available hours, under Team members' own hours); on an event with no hours of its own, their hours with your team alone. A member with no hours with your team is offered no time on it. Your own times on a shared event follow its hours, so a shared event with no hours offers you none. Booking limits count for each host.
